Protecting Customer Data When Using AI Receptionists

AI systems can handle customer conversations, but that also means they may process names, phone numbers, emails, job details, addresses, payment intent, and sometimes sensitive information. Businesses should treat that data with the same care they apply to CRM, email, and call recording systems.

Before launching an AI receptionist, define what data the AI can collect, what it must avoid, when it should escalate, how long records are retained, who can access transcripts, and whether customers need to be told calls may be recorded or handled by AI. These decisions should be made before the system goes live, not after a complaint.

The safest setup is practical: collect only what is needed, use secure tools, keep private keys server-side, restrict admin access, and review high-risk conversations. AI can improve service, but it should be deployed with clear operating rules.
